Background

On 28 August, several branch members communicated concerns to AEVA National regarding the elections held on 13 August. The AEVA National Executive has subsequently instructed NSW Branch to vacate all positions and conduct new elections. Notice was then given of this Special General Meeting.

Procedural matters

Although nominations were requested by 24 September, the AEVA Constitution allows for "nominations to be made orally at the meeting". It is possible, therefore, that additional nominations could be made just before the Zoom voting process.  It is also possible that some nominees may withdraw at this stage.

Proxy votes are permitted. The Returning Officer will count any proxy votes which match against the final nomination list, and will ignore those which do not match.

According to Clause 18.1(b) of the Constitution "the Branch will decide, by resolution at each Annual [or Special] General Meeting, the number of positions which will comprise the Branch Committee".  This means that there are circumstances under which there could also be an election to choose the General Committee members.

Voting procedures

The meeting will be conducted online using Zoom polling features. Only financial members will be eligible to vote. The membership status of all those who register will be checked prior to the meeting.

The Returning Officer will be the National Secretary (Warwick Cathro), being a current AEVA member who is not a candidate for any role and not a member of the AEVA NSW Branch.
